Communications & Billing

To ensure that communications, fees and billing processes for Loon Race Team (“LRT”) athletes are clearly outlined, please see the details below.

This agreement is subdivided into Section I, Section II and Section III.

  • Contractors who register for Custom one-to-one sessions will receive communications and invoices per the specifics listed in Section I. The policies in Section I apply to all one-to-one individualized academics and academic support offerings, including but not limited to classes taught for credit, academic support, executive skill building, study & organizational support, and high school winterm.
  • Contractors who register for the Middle School Winterm shall receive communications and invoices per the specifics listed in Section II.
  • Contractors who register for Standardized Test Preparation will receive communications and invoices per the specifics listed in Section III.

Section I. Custom One-to-One Sessions Communications & Billing

COMMUNICATIONS INFORMATION

  1. Instructional Agreements. Knower Academics, LLC shall create an Instructional Agreement for each subject to be taught or area of support that shall be provided to the Student. This agreement shall outline the focus of instruction, number of sessions per week, and duration of instruction. The agreement shall be distributed to Contractors and other providers added as contacts on the student’s team. See “Distribution Contacts”.
  2. School Outreach & Curriculum. If the Student’s learning plan includes credit-bearing coursework, Knower Academics shall coordinate curriculum design and/or work exchange with the sending school, or determine another credit-bearing option.
  3. Logbooks. After each session, the Instructor shall submit a session summary, or logbook. In the logbooks, the Instructor shall describe the topics/assignments addressed in the session and shall share any additional notes regarding Student progress toward objectives. Instructor logbooks are distributed on the first business day after the session. Missed session or declined session logbooks are distributed immediately upon submission by the Instructor.
  4. Distribution Contacts. Knower Academics, LLC sends instructional agreements and logbooks to Contractors. Knower Academics, LLC also typically creates a set of distribution contacts who shall be kept updated regarding the Student’s instruction and progress. Standard distribution contacts for logbooks include the family, advisor, teachers, as well any coaches, counselors, therapists, advocates, or other persons that the Student identifies as a support or mentor.  Contractors may contact the office to add or remove contacts.
  5. Feedback. Please feel free to reply to instructional agreements and logbooks with thoughts, questions or feedback. Communication is entirely welcome and strongly encouraged throughout the instructional process.

 

BILLING INFORMATION

  1. Registration Fee. All new registrations have an associated $150 registration payment, to be made by card. For Students enrolled in Middle School Winterm who contract additional one-to-one sessions, Knower Academics, LLC shall waive the registration fee.
  2. Session Rate. Instruction shall be invoiced at a rate of $110 per session. A typical session length is one (1) hour. Minimum session length is forty (40) minutes. For sessions involving work for credit and/or parallel work exchange, a portion of each session shall often be dedicated to organizing, downloading, and submitting coursework, as well as to communications with teachers. If the Student identifies a window of availability that is less than one hour in length, but still allows sufficient time to meet instructional objectives, that session shall count as a full session. In the event of a session scheduled for less than one hour, the Instructor shall devote the balance of the time to managing curriculum, communications, documentation, or other actions on the Student’s behalf.
  3. Invoicing. Knower Academics, LLC shall invoice on the first business day of the month for services rendered the month previous. Knower Academics, LLC shall automatically charge the card on file for the invoice total on that first business day of the month. Contractors shall receive a copy of the paid invoice via email.
  4. Study or organizational materials. If the Instructor identifies that study resources, books or organizational supplies are needed to meet instructional goals, the Student shall be encouraged to purchase or order materials through their own independent means. In the event the Student is unable to produce the needed supplies, the Instructor shall purchase the materials through Knower Academics, LLC and the cost of these materials shall be added to the invoice.
  5. 3pm Reschedule Deadline. To ensure a firm commitment to instruction, Knower Academics, LLC maintains a 3:00pm cancellation policy: if the Student cancels after 3:00pm Eastern time the day prior to the scheduled session, or does not attend the scheduled session, Knower Academics, LLC shall still invoice for that session.
  6. Declined Sessions. Instructors shall schedule sessions during the times the Student indicates as being available.  If the Student is unwilling or unable to commit to the session, the Instructor shall send a declined session notification.
    Students are expected to attend all scheduled sessions, including those that may fall during a “surprise” event which results in a cancellation of classes or other abrupt change in planned activities.  If Students choose not to attend the scheduled session due to such a scenario, a declined session notification shall be distributed and Knower Academics, LLC shall still invoice for that session.

Section II. Middle School Winterm Communications & Billing

COMMUNICATIONS INFORMATION
Note: Knower Academics, LLC is currently in the process of finalizing curriculum, communications and schedule for FSC Middle School Winterm. The planned communications below may be adjusted before and throughout the program.

  1. Team of Support. Knower Academics, LLC shall collaborate with family, faculty and professionals working together in support of the Student’s personal, educational and athletic goals.
    a.)
    Curriculum Design & School Outreach. Knower Academics, LLC shall offer to reach out to the Student’s sending school to share information about skills and standards of winterm curriculum and to determine a custom curriculum plan, ideally using the school’s own curriculum, for coursework taught in one-to-one formats. If curriculum is not available, Knower Academics, LLC shall determine another credit-bearing option.
    b.)
    Distribution contacts. Knower Academics, LLC typically creates a set of distribution contacts who shall be kept updated regarding the Student’s learning. Standard distribution contacts for logbooks include the Contractor, advisor, teachers, as well any coaches, counselors, therapists, advocates, or other mentors. Contractors may contact the office to add or remove contacts.
    c.)
    Feedback. Contractors and contacts are strongly encouraged to reply to Knower Academics, LLC communications with thoughts, questions or feedback. 
  2. Session Communications. Middle School Winterm includes dedicated one-to-one instructional time each week. Students shall be scheduled for one-to-one instruction (“Sessions”) as part of their weekly programming. Knower Academics, LLC shall provide the following communications surrounding the objectives and work completed in Sessions.
    a.)
    Instructional Agreements. Knower Academics, LLC shall create an Instructional Agreement for each subject or area of support that shall be provided to the Student. This agreement shall outline the focus of instruction, number of sessions per week, and duration of instruction. The agreement shall be distributed to members of the Student’s support team.
    b.)
    Logbooks. After each session, the Instructor shall submit a session summary, or logbook. In the logbooks, the Instructor shall describe the topics/assignments addressed in the session and shall share any additional notes regarding Student progress toward objectives. Instructor logbooks are distributed on the first business day after the session. Missed session or declined session logbooks are distributed immediately upon submission by the Instructor.
  3. Class Communications. Middle School Winterm includes dedicated small group learning time each week as well as overall classroom structure (“Class”). Knower Academics, LLC shall provide the following communications surrounding the objectives and work completed in each Class.
    a.)
    Learning Management. Assignments shall be shared with Students and Contractors to facilitate work completion and planning.
    b.)
    Assessments, Grading & Reporting. Contractors will be kept updated on the Student’s progress toward course objectives, learning standards and skills. Graded formative and summative assessments shall be provided.

 

BILLING INFORMATION

  1. Non-refundable deposit. The $500 tuition deposit shall be paid at the time of registration and shall not be eligible for refund.
  2. Tuition payable to Knower Academics, LLC. The $5000 tuition for the Middle School Winterm program shall be paid in full before or by November 16th, 2020.
    a.)
    Payment Schedule A. $500 deposit with registration; Two additional payments shall be charged to the card on file in the amount of $2250 on 15 October, 2020, and $2250 on 16 November, 2020.
    b.)
    Payment Schedule B. $2500 payment with registration; An additional payment shall be charged to the card on file in the amount of $2500 on 16 November, 2020.
    c.)
    Payment Schedule C. $5000 paid in full with registration
  3. Commitment deadline; Refund Contingencies. In the event that Student withdraws from the Winterm program:
    a.)
    On or before 15 October, 2020. Excepting the $500 deposit, Tuition payments made on before 15 October shall be eligible for 100% refund.
    b.)
    From 16 October to 16 November, 2020. Excepting the $500 deposit, tuition payments made on or after 16 October but before 16 November shall be eligible for 50% refund
    c.)
    After 16 November, 2020. 16 November shall serve as a final commitment deadline for enrollment. No refunds shall be issued for Students who withdraw from the program after 16 November.
  4. Books & school supplies. Students will be provided with a list of required school supplies and textbooks, to be purchased or otherwise provided by the Contractor. 
  5. No refund for missed or declined Session(s) and/or Class(es). Knower Academics, LLC shall incur no obligation to schedule additional instructional time for Students who do not attend Sessions or Class at the scheduled time.
  6. Additional sessions. Please see Section I.

If the Instructor proctors a mock exam in sessions, the Contractor shall receive, at no additional charge beyond the cost of the sessions, a detailed diagnostic report and analysis of student results.  If the Student completes a mock exam independently and submits answer bubbles to the office for scoring, Knower Academics, LLC shall provide the detailed diagnostic report at the cost of $150.  Essay scoring shall be invoiced at $30 per mock writing test.
  5. Additional study or organizational materials. If the Instructor identifies that additional supplemental study resources, books or organizational supplies are needed to meet instructional goals, the Student shall be encouraged to purchase these materials through their own independent means. In the event the Student is unable to produce the needed supplies, the Instructor shall purchase the materials through Knower Academics, LLC and the cost of these materials shall be added to the invoice.
