Communications & Billing

To ensure our communications and billing processes are clearly outlined for you, please see the details below.

This agreement is subdivided into Section I, Section II and Section III.

  • Contractors who register for Interim and Custom 1:1 Academic Support will receive communications and invoices per the specifics listed in Section I.
  • Contractors who register for the Quarterly Academic Support Program will receive communications and invoices per the specifics listed in Section II.
  • Contractors who register for Standardized Test Preparation will receive communications and invoices per the specifics listed in Section III.

Section I. Interim & Custom 1:1 Academic Support Communications & Billing

COMMUNICATIONS INFORMATION

  1. Instructional Agreements. Knower Academics will create an Instructional Agreement for each subject or area of support that will be provided to the student. This agreement will outline the focus of instruction, number of sessions per week, and duration of instruction. The agreement will be distributed to members of the student’s support team. 
  2. Logbooks. After each session, the instructor will submit a session summary, or logbook. In the logbooks, the instructor will describe the topics/assignments addressed in the session and will share any additional notes regarding student progress toward objectives. Instructor logbooks are distributed on the first business day after the session. Missed session or declined session logbooks are distributed immediately upon submission by the instructor.
  3. Distribution contacts. Knower Academics routinely sends instructional agreements and logbooks to our colleagues and partners at Holderness School. Standard distribution contacts for logbooks include advisors, teachers, and the Academic Dean, as well any coaches, counselors, therapists, advocates, or other faculty that the student identifies as a support or mentor.  Contractors may contact the office to add or remove contacts.
  4. Feedback. Please feel free to reply to instructional agreements and logbooks with your thoughts, questions or feedback. Your communication is entirely welcome and strongly encouraged throughout the instructional process.

 

BILLING INFORMATION

  1. Registration Fee. All new registrations have an associated $150 registration payment, to be made by card.
  2. Session Rate:
    • Interim Academic Support: $150 per session. Taught in a one-to-one environment, a Knower Academics instructor may teach skills through proprietary curriculum, or in the context of actual coursework and subject material. Includes access to eight hours per week of Evening Study Group. ESG is a proctored service which  helps students manage their time, meet with teachers, use school resources, break down tasks, and improve study habits. At the end of the academic quarter, students are automatically enrolled in the Academic Support Program for the upcoming quarter.
    • Custom 1:1 Instruction: Skill Building / Subject Instruction, Subject Support, Executive Skill Building & Collegiate Skill Building. $135 per session. Taught in a one-to-one environment, Knower Academics instructors may teach skills through proprietary curriculum, or in the context of actual coursework and subject material. Custom 1:1 instruction is available exclusively to students who have completed at least one full quarter of the Academic Support Program.
  3. Invoicing. Knower Academics will invoice on the first business day of the month for services rendered the month previous. Knower Academics encourages families to select to pay by card when registering, after which Knower Academics will automatically charge the card on file for the invoice total on that first business day of the month. Contractors will receive a copy of the paid invoice via email.
  4. Interim Academic Support Renewal. Within a specified window of time, approximately one month prior to the beginning of a new academic quarter, contractors may adjust their level of support or discontinue enrollment in the Academic Support Program. Registration in ASP will automatically renew for the next quarter unless notified by families of a change. Knower Academics shall send notice of opening and closing dates of the enrollment/change period each quarter and will invite families to adjust or discontinue their support sessions. If no notice is received, Knower Academics shall continue with the plan and support indicated by the latest Instructional Agreement.
  5. Virtual and In-Person Instruction. Knower Academics reserves the right to incorporate virtual instruction when necessary to ensure consistent scheduling or to pair the student with the best-fit instructor. We are committed to providing high-quality, effective instruction and will strive to create the best possible learning environment for each student. If virtual sessions are not optimal for the student, and no alternative instructor is available, the Client is under no obligation to continue ASP services beyond the current academic quarter.
  6. Study or organizational materials. If the instructor identifies that study resources, books or organizational supplies are needed to meet instructional goals, the student will be encouraged to purchase these materials at the school store or through their own independent means. In the event the student is unable to produce the needed supplies, the instructor will purchase the materials through Knower Academics and the cost of these materials will be added to the invoice.
  7. 3pm Reschedule Deadline. To ensure a firm commitment to instruction, Knower Academics maintains a 3:00pm cancellation policy: if the student cancels after 3:00pm EST the day prior to the scheduled session, or does not attend the scheduled session, Knower Academics will still invoice for that session.
  8. Declined Sessions. Instructors will schedule sessions during the times the student indicates as being available.  If the student is unwilling or unable to commit to the session, the instructor will send a declined session notification.
    Students are expected to attend all scheduled sessions, including those that may fall on a Headmaster’s Holiday or any other “surprise” event which results in a cancellation of classes.  If students choose not to attend the scheduled session on a Headmaster’s Holiday or similar scenario, a declined session notification will be distributed.

Section II. Quarterly Academic Support Support Communications & Billing

  1. Billed by Holderness. The billing procedures and cost of the Academic Support Program are determined by Holderness School. Please direct any questions about your invoice to the Holderness Business Office.
    Cost for the program is posted on The Holderness School webpage. From the Holderness homepage, click on “Tuition & Financial Aid” and then select “Academic Support Fees.” A direct link to that information is pasted here:
  2. Study or organizational materials. If the instructor identifies that study resources, books or organizational supplies are needed to meet instructional goals, the student will be encouraged to purchase these materials at the school store or through their own independent means. In the event the student is unable to produce the needed supplies, the instructor will purchase the materials through Knower Academics and the cost of these materials will be added to the invoice.
  3. 3pm Reschedule Deadline. To ensure a firm commitment to instruction, Knower Academics maintains a 3:00pm cancellation policy: if the student cancels after 3:00pm EST the day prior to the scheduled session, or does not attend the scheduled session, Knower Academics will incur no obligation to reschedule that session.
  4. Declined Sessions. Instructors will schedule sessions during the times the student indicates as being available.  If the student is unwilling or unable to commit to the session, the instructor will send a declined session notification.
    Students are expected to attend all scheduled sessions, including those that may fall on a Headmaster’s Holiday or any other “surprise” event which results in a cancellation of classes.  If students choose not to attend the scheduled session on a Headmaster’s Holiday or similar scenario, a declined session notification will be distributed.
  5. Duration of Quarter. The number of weeks in any particular academic quarter shall be determined by the regular academic regime as conducted by Holderness School in its sole discretion; Knower Academics, LLC will comport itself with the daily/weekly schedule of Holderness School as fluidly as possible.
  6. Duration of Contract. By registering for the Academic Support Program (ASP), the Client enters into a contract, committing their student to services for the duration of the one academic quarter. Registration shall automatically renew for each subsequent quarter throughout the remainder of the academic year, unless the Client opts out. To discontinue ASP services for any upcoming quarter, the Client must notify Knower Academics in writing prior to the opt-out/reduction deadline, which is approximately one month before the start of the next quarter.
  7.   2. Session Rate. Test Prep sessions are invoiced at a rate of $135 per session.  A typical session length is one hour. If a session is scheduled during a free block that is less than one hour in length, that session will count as a full session.

Knower Academics encourages families to select to pay by card when registering, after which Knower Academics will automatically charge the card on file for the invoice total on that first business day of the month. Contractors will receive a copy of the paid invoice via email.
  4. Baseline and Mock Exams and Diagnostic Score Reports. If the instructor proctors a mock exam in sessions, the contractor will receive, at no additional charge beyond the cost of the sessions, a detailed diagnostic report and analysis of student results.  If the student completes a mock exam and submits answer bubbles to the office for scoring, Knower Academics will provide the detailed diagnostic report at the cost of $150.  Essay scoring will be invoiced at $30 per mock writing test.
  5. Materials Set. Instructors will provide students with a materials set for a cost of $60. The materials set includes a copy of relevant areas of Knower’s test prep curriculum as well as a book of either SAT or ACT practice tests. If the student changes focus from the SAT to the ACT, or vice versa, we will then provide a copy of the other book and invoice $30.
  6. Additional study or organizational materials.
